Reservation Terms & Conditions
Each initial custom tour proposal will be accompanied by a printable copy of the terms outlined in the form of a contract. When you are ready to proceed with your Alaska arrangements a signed copy of the contract, including payment details, will be required. Upon receipt of this completed document we will secure the services as requested. If for any reason we are unable to confirm your reservation as requested we will suggest an alternate tour for your approval.
New requests initiated within 30 days of travel require additional time and care therefore separate terms and conditions will apply. These terms, which include a USD 300 non-refundable booking fee (to be applied to your final invoice) will be forwarded to you for approval before we can begin processing your request.
An initial deposit of 50% is required at the time of reservation if reservation is made more than 60 days from first date of service. Reservations booked within 60 days will require full payment immediately. Payment will be processed only when all services are confirmed and a confirmation invoice will be sent to you by e-mail.
Final payment for all services is due 60 days prior to the date of your first service reserved and this date will be indicated on your confirmation invoice.
FORM OF PAYMENT
- Payments may be made by credit card or bank transfer only.
- Bank transfer details will be provided with confirmation/invoice.
CHANGE FEE POLICY
Once confirmed and invoiced, any changes to existing services must be requested in writing. Date changes at least 60+ days prior to start of services are subject to a $100 administration fee, plus any fees imposed by suppliers. Fees for date changes requested within 60 days of start of services will be considered on a case-by-case basis. All requests for date changes will also be subject to availability at the time of the change and additional costs may apply if exact services are not available on new dates. Name changes requested within 30 days of travel are subject to a $100 change fee per name, in addition to any fees imposed by our suppliers.
STANDARD CANCELLATION POLICY
All cancellation requests must be received in writing and penalties will apply based on the date your message is received by our office.
|Private Touring Services|
|Any time after our written confirmation:||25% of total invoice|
|90 – 61 days prior to departure:||50% of total invoice|
|Within 60 days prior to first service:||100% penalty applies|
Standard cancellation policy applies to majority of services offered. Any exceptions to these terms will be clearly indicated at the time of proposal.
CANCELLATIONS / UNUSED SERVICES
If, due to weather conditions or other circumstances, any service included in your itinerary is cancelled by the tour provider, you will typically be refunded up to the full cost paid for the cancelled service. Though we often will hear from our tour provider partners in these cases, please be sure to notify us in writing within 30 days of the cancelled service so that we can process your refund. Any other pre-booked services that are not used, and that do not meet one of the above-mentioned criteria will be considered a ‘no show’ and will not be refundable. All refunds will be credit back to traveler credit card or will be sent via company check, depending on original form of payment.
Provided full payment has been received, travel vouchers and itinerary details will be forwarded by e-mail to you for review approximately 30 days prior to your arrival in Alaska. You will also receive a full documentation package upon arrival.
