Booking Policies

Thank you for choosing Alaska Private Touring for your custom Alaska visit. Please review the reservation, payment, and cancellation terms outlined below. Completion of our secure booking form indicates your acceptance of the terms outlined below.


Making reservations

After discussing your travel interests, budget and time frame, our Travel Designers will send you a custom itinerary proposal for your review via email. Included within that is a link to our booking form. After receipt of your personal information submitted on that form, Alaska Private Touring will proceed with securing necessary travel accommodations and arrangements with our Alaska partners. If for any reason we are unable to confirm your reservation’s requirements, as requested, we will suggest alternate solutions for your consideration, including any changes to your itinerary’s cost.

Last minute booking

New travel requests initiated within 30 days of travel require additional time and care therefore separate terms and conditions will apply. These will be handled on a case-by-case basis with full communication with you.  These terms, which include a non-refundable booking fee as outlined by your Travel Designer (to be applied to your final invoice) will be forwarded to you for approval before we can begin processing your request. Should you decide to proceed with securing your travel arrangements with Alaska Private Touring, this booking fee will be applied toward your invoice and the balance of your payment will be due immediately upon confirmation.

Standard Deposit Policy

An initial deposit of 50% will be required once all services in your custom Alaska itinerary have been confirmed.  A confirmation/invoice will be sent you by e-mail and will include a link to our secure payment portal for you to enter your payment details and submit payment.

Standard Final Payment Policy

Final payment for all services is due 60 days prior to the date of your first service.  An invoice requesting final payment will be sent by e-mail approximately one week prior to your final payment date and will also include a link to our payment portal.

Change Fee Policy

Once confirmed and invoiced, any changes to existing services must be requested in writing.  All changes are subject to an administrative fee, plus any applicable cancellation/change fees charged by the service providers.  These fees apply to changes of dates, names, or services when requested 30 or more days in advance of scheduled arrival.  The following change fees will be imposed by Alaska Private Touring and will be charged for each change requested:

  • Day Excursions (per occurrence):  $15 per person, per tour
  • Tour packages of up to 7 days in duration:  $100 per person
  • Tour packages of 8+ days in duration:  $200 per person

Changes made within 30 days of scheduled arrival will be processed and considered on an individual basis and will be subject to availability and additional penalties.

Standard Cancellation Policy

All cancellation requests must be received in writing and penalties will apply based on the date your message is received by our office.  The following penalties will apply, in addition to any fees imposed by our suppliers:

Request to Cancel Entire Itinerary

  • 91+ days prior to scheduled arrival:  25% of total invoice
  • 90 – 61 days prior to scheduled arrival:  50% of total invoice
  • Within 60 days of scheduled arrival:  100% penalty applies

Request to Cancel a Specific Service

  • 61+ days prior to scheduled arrival:  $15 per person, per tour
  • 60 – 31 days prior to scheduled arrival:  $25 per person, per tour
  • Within 30 days or scheduled arrival:  No refund

Important Note:

Standard cancellation policy applies to a majority of services offered.  Some remote lodges and exclusive services require different policies.  Any exceptions to our ‘Standard Terms’ will be clearly indicated on your proposal document next to the service for which it pertains and will apply to your overall itinerary.  When your custom Alaska itinerary includes multiple services with varying terms, the most stringent terms will be enforced.

We strongly recommend the purchase of travel insurance to protect you in the event of unexpected delays, missed connections, or cancelled services (due to a covered reason such as inclement weather, injury or illness before or during your trip**). We offer travel insurance through our partner, Arch RoamRight and you can get a free quote here.

Cancellations by Tour Providers & Unused Services

If, due to weather conditions or other circumstances, any service included in your itinerary is cancelled by the tour provider, you MAY receive a refund up to the full cost paid for the cancelled service.  Please be sure to notify us in writing within 30 days of the cancelled service so that we can process your refund.  Should you choose to not participate in a prebooked service included in your itinerary, you will be considered a ‘no show’ and will not not be eligible for a refund.  All refunds will be processed as a credit back to the original form of payment. 

Documentation from Alaska Private Touring

Provided full payment has been received, all itinerary details will be forwarded by e-mail to you for review approximately 30 days prior to your arrival in Alaska.  You will also receive a full documentation package upon arrival.

Responsibility

Alaska Private Touring, LLC and its affiliated entities and its employees, shareholders, officers, directors, successors, agents, and assigns, neither own nor operate any person or entity which is to, or does, provide goods or services for these trips or tours. Because Alaska Private Touring, LLC assumes no responsibility for and cannot be held liable for any personal injury, death, property damage, or other loss, accident, delay, inconvenience, or irregularity which may be occasioned by reason of (1) any wrongful, negligent, willful, or unauthorized acts or omissions on the part of any of the tour suppliers, or other employees agents, (2) any defect in or failure of any vehicle, equipment, instrument owned, operated or otherwise by any of these suppliers, or (3) any wrongful, willful, or negligent act or omissions on any part of any other party not under the supervision or control of the Operator.

Act of God – Force Majeure

Alaska Private Touring, LLC and/or its suppliers shall not be responsible for failure to perform any of its obligations under this Agreement during any period in which such performance is prevented or delayed due to Force Majeure, nor for changes to or terminations of your trip due to Force Majeure.  “Force Majeure” refers to any event beyond Alaska Private Touring LLC’s reasonable control, including but not limited to severe or adverse weather, fire, flood, mudslides, earthquakes, war, labor disputes, strikes, riots, epidemics, World Health Organization’s advisories and/or alerts, disease, pandemic, virus, illness, Center for Disease Control’s advisories and/or alerts, U.S. State Department’s advisories and/or alerts, any order of any local, provincial or federal government authority, interruption of power services, terrorism or any other causes beyond the control of Alaska Private Touring, LLC.

Very rarely, you may be forced by “force majeure’ to change or terminate your trip after departure but before the scheduled end of your trip.  This is unlikely but if this situation does occur, we regret we will be unable to make any refunds (unless we obtain any refunds from our supplier partners), pay you any compensation, or meet any costs or expenses you incur as a result.  Alaska Private Touring, LLC reserves the right to cancel any services described in a trip itinerary due to Force Majeure.
